"Office Administrator" Vacancy Announcement
The IMF-Middle East Center for Economics and Finance (CEF), located in Kuwait, is an office of the IMF with a mission to strengthen the economic management in Arab League Member Countries by delivering an integrated curriculum of training courses and seminars that address the key skill sets needed to support this goal. In particular, the training aims to improve the ability of officials of these countries to analyze economic conditions, diagnose problems, and design and implement appropriate.
The Center is seeking an "Office Administrator" to carry out administrative functions related to training activities at the CEF.
This is a full time position with an initial appointment term of two-years (renewable), and carries a competitive salary and benefits package commensurate with the successful candidate's experience and qualifications.
Qualifications and skills:
I. Functions/ Key Results Expected:
- Manage the Director's agenda to determine scheduling priorities.
- Respond to telephone and e-mail enquiries, routing correspondence, and maintain supplies.
- Administer HR records and HR-related functions, travel arrangements, and expense reports for CEF staff.
- Prepare standard responses to routine correspondence.
- Prepare, proofread, and format documents in accordance with Fund style and CEF guidelines.
- Prepare lecture materials for economist staff using standard presentation software.
- Prepare statistical reports with the use of Participants and Applicant Tracking Systems (PATS) and assist with the registration of CEF applications using PATS.
- Assist with the maintenance of CEF databases, file and retrieve documents and online information from document repositories, and electronic sources.
- Provide, as needed, basic technology guidance and assistance to colleagues and perform other administrative duties, as required.
II. Competencies:
- Excellent organizational skills with proven ability to plan workload and balance competing demands.
- Ability to manage multi-task, meet deadlines, and work under pressure with minimum supervision.
- Ability to exhibit a high degree of initiative, tact, and judgment in handling confidential information and ambiguous situations.
- Excellent interpersonal skills and customer service orientation in dealing with diverse groups of people.
- Strong database skills and ability to access, retrieve, and generate reports using CEF specific networks.
III. Qualification Requirements:
1- Education: University degree in Business Administration, Public Relations or any other related field.
2- Experience: At least 3 years of experience.
3- Language: Fluency in English and Arabic is required.
4- IT Skills: Proficiency in Word, Excel, PeopleSoft, familiarity with the Internet.

Job Details:
Preparation of all financial/ management accounting, analysis and interpretation of accounting information, preparation of budgets and forecasts and implementation and monitoring of financial controls.
Main Requirements:
-Ensure proper maintenance of the company books of accounts and chart of accounts, this includes but not limited to maintenance of general and subsidiary ledgers, as well as providing timely income, operating, capital spending, segmental information, Assets and liabilities monthly reconciliation. Moreover, analysis, production cost, and labor cost analysis.
-Build and maintain strong relationships with financial institutions, external auditors and manage customer relationship to support the business
-Develop and maintain organizational policies, procedures, financial control and guidelines in coordination with Group Internal Auditor and facilitate the implementation of new financial process, control and systems within the organization
-Develop and implement accurate and timely systems for management reporting. In addition, ensure that statutory financial reporting is prepared under International Accounting Standards ( IAS) and presented in accordance to International Financial Reporting Standard (IFRS)
-Ensure Compliance with all administrative matters, legal, taxes, audit, and oversee monthly payroll, pension plans, medical and life insurance, etc.
-Effective deployment of financial resources to maximize liquidity and return of financial assets
-Lead and develop tools for strategic planning and annual operating budgets to streamline the process and support all departments to ensure accurate deliverable on a timely manner. This includes Income Statement, Capital Budget, Cash Flow, and Balance Sheet.
-Develop governance strategies, short/long term financial risk management, and effective integrations of finance functions with operations to deliberately cover overall company financial risk.
